What documents to take with you — and what to sort out after arrival

Most problems come not from the border but from a small thing left at home or not done in the first week. Here is the full order of actions.

Documents for working in Poland aren't one folder — they're three separate stages: what to gather at home, what to keep on hand while traveling, and what to arrange once you're there. The third stage causes the most trouble, and it's usually the one no one warns you about.

1. At home: things you cannot get later

  • A biometric passport with enough validity left.
  • A basis to work — a PUP notification, an oświadczenie, or a permit, depending on your citizenship.
  • Diplomas and certificates — these are what determine your rate.
  • Sworn translations — without them, a document effectively doesn't exist for the authorities. Getting these done at home is usually cheaper and faster.
  • Birth and marriage certificates — if you're traveling with family or planning reunification.

2. On the road: not in luggage, at hand

Passport, basis to work, your address, and the employer's contact written down separately (not only in a messaging app — you may not have internet) plus money for the first weeks. Remember: your first full paycheck won't arrive for 5–6 weeks.

3. First two weeks: three things that decide everything

This is the most important part. Most later problems start right here — and it's exactly the part people most often leave to chance.
  • A written contract before you start working. Its terms must match what was promised verbally.
  • ZUS registration within 7 days. Without it there's no insurance, no sick pay, no work record. Check this — don't assume it.
  • The PIT-2 declaration. One page that lowers your tax every month. Without it you pay more all year — and only get it back at tax-return time.

After that come PESEL, meldunek (address registration), and a bank account. If you entered visa-free and plan to stay, the residence application must be filed before the 90 days run out, not after.
